Accountants for Transport and Courier Companies

Accountants for UK courier, haulage and delivery companies: vans and capital allowances, fuel and mileage, driver status, payroll, VAT and accounts.

Short answer

Courier, haulage and delivery companies need vehicle purchases and finance treated correctly for capital allowances, fuel and running costs claimed with clear private-use records, driver employment status checked, and payroll and VAT handled accurately. We prepare the bookkeeping, VAT, payroll, year-end accounts and Corporation Tax.

What this means for your company

Vehicles are usually the largest cost in transport. Buying, leasing or hire-purchasing vans and lorries affects tax relief and cash flow differently. Driver arrangements, fuel and maintenance add further complexity. We keep each vehicle's costs and finance properly recorded.

Vehicles and capital allowances

Vans and lorries are plant and machinery, so a company can usually claim the Annual Investment Allowance on qualifying expenditure up to £1 million a year. Full expensing may also be available for qualifying new and unused plant bought by companies. Cars are treated differently and generally use writing-down allowances based on emissions, with first-year allowances for qualifying zero-emission cars.

Assets bought on hire purchase can usually qualify for allowances when brought into use, while leased vehicles generally give relief for the lease payments instead.

Fuel, private use and van benefit

Business fuel and running costs are generally allowable for the company. If a van is available for an employee's or director's private use beyond insignificant private use and ordinary commuting, a van benefit charge can apply, plus a separate fuel benefit where private fuel is provided. Keep usage records.

Drivers: employed or self-employed?

Courier and delivery drivers may be employees, workers or self-employed, depending on control, substitution, use of their own vehicle and how work is allocated. The answer affects PAYE, National Insurance, holiday pay and minimum wage obligations, and tribunal decisions in the sector have shown how fact-specific it is.

VAT and income reconciliation

Most UK transport services are standard-rated. International freight transport and related services can be zero-rated where the conditions are met. Delivery-platform and contract statements should be reconciled to gross income, with deductions for fuel cards, insurance or equipment recorded as costs.

The compliance baseline every company shares

A transport and courier company files statutory accounts at Companies House, normally nine months after its accounting reference date, and a CT600 within 12 months of the end of its Corporation Tax accounting period. Most smaller companies pay Corporation Tax nine months and one day after the period ends; the main rate is 25%, with the 19% small profits rate up to £50,000 and marginal relief between £50,000 and £250,000.

VAT registration is required once taxable turnover passes £90,000 in a rolling 12 months, or is expected to within 30 days. Paying any salary, including to a director, brings PAYE and Real Time Information reporting, and employing eligible staff brings automatic-enrolment pension duties. The confirmation statement is a separate annual filing.

How we work with you

We start with a free consultation to understand how you invoice, buy, pay people and get paid. You then receive a written scope and fee before chargeable work begins, covering bookkeeping, VAT, payroll, year-end accounts, CT600 and director Self Assessment as agreed.

Advisory work such as management accounts, cash-flow forecasting, pre-year-end planning or specialist reliefs is quoted separately rather than assumed to be included. Where a question needs specialist legal or tax advice outside our scope, we say so.

Frequently asked

Accountants for Transport and Courier Companies: questions directors ask

Can my company claim the full cost of a new van?

Usually yes. Vans qualify as plant and machinery, so the Annual Investment Allowance, or full expensing for qualifying new assets, can give relief on the cost in the year of purchase.

Do I pay tax on a company van I take home?

Ordinary commuting and insignificant private use need not trigger van benefit. Wider private use generally does, with an additional charge if private fuel is provided.

Are our delivery drivers self-employed?

It depends on the facts, including control, substitution and how work is allocated. We help you review the arrangements and payroll obligations.

Is courier work subject to VAT?

Most domestic courier and haulage services are standard-rated. Certain international freight transport services can be zero-rated.

Should we buy, lease or hire-purchase vehicles?

It depends on cash flow, tax relief timing and residual value. We compare the after-tax cost before you commit.

Do you work with transport and courier businesses outside London?

Yes. We meet clients by appointment at our Morden office and work online with transport and courier companies across the UK using cloud bookkeeping, secure document upload and video calls.

What records are needed for accountants for transport and courier companies?

Keep bank statements, sales and platform reports, purchase invoices, payroll records, VAT workings, finance agreements and Companies House correspondence. We confirm the exact list at onboarding and identify gaps before a filing deadline becomes urgent.

How much does help with accountants for transport and courier companies cost?

The fee depends on transaction volume, record quality, VAT and payroll requirements, historic catch-up and the level of reporting needed. We agree a fixed scope and price before technical work starts, with published packages available on our fees page.

Can you take over accountants for transport and courier companies from another accountant?

Yes. We request professional clearance, collect the prior records and authorities, check the next Companies House and HMRC deadlines, and give you one clear handover list. The process is normally completed remotely.

Can accountants for transport and courier companies be handled online?

Yes. We work through secure cloud records, scheduled reviews and digital approvals, while keeping a named team available by phone, video call and email. Clients can also visit our Morden office by appointment.
