What this means for your company

Handmade, vintage and digital-product sellers trading through Etsy face the same statutory deadlines as any UK company, plus a handful of issues that are specific to the sector. We set the bookkeeping, VAT and reporting up around those issues rather than treating every company the same.

01

Etsy deposits are net of fees, ads, refunds and VAT, turnover must be reported gross

02

Etsy Ads, offsite ads and listing fees carry VAT treatment that depends on your VAT registration

03

Digital downloads sold to consumers abroad follow different VAT rules to physical goods

04

Materials, studio space and postage claimed correctly against profit

05

Platform sales data is now reported to HMRC, so declared income must match

What matters most for Etsy sellers

Handmade, vintage and digital-product sellers trading through Etsy.

• Etsy Ads, offsite ads and listing fees carry VAT treatment that depends on your VAT registration

• Digital downloads sold to consumers abroad follow different VAT rules to physical goods

• Materials, studio space and postage claimed correctly against profit

• Platform sales data is now reported to HMRC, so declared income must match

The compliance baseline

Whatever the sector, the company must file accounts with Companies House nine months after the accounting reference date, file a CT600 within twelve months of the period end, pay corporation tax nine months and one day after the period end, and file a confirmation statement each year.

Once taxable turnover passes £90,000 in a rolling 12 months, VAT registration and Making Tax Digital filing follow. Employing anyone, including a director on a salary, brings PAYE, RTI reporting and auto-enrolment pensions.

Thresholds, rates and deadlines quoted here reflect the 2026/27 UK position. Check current GOV.UK guidance, or ask us, before you rely on them for your own company.

Working with us

We agree the scope and monthly fee before starting, set up bookkeeping that fits how you invoice and buy, and send reminders ahead of every filing date.

You get plain answers to sector questions in normal language, and we say clearly when something needs specialist advice rather than guessing.

Frequently asked

Accountants for Etsy sellers: questions directors ask

How should Etsy income be recorded in my accounts?

Record gross customer sales as turnover, then record Etsy listing fees, transaction fees, payment processing, advertising, refunds and reserves separately. Posting only the net bank deposit understates both sales and costs and makes VAT and margin reporting unreliable.

Why is recording the net Etsy payout usually wrong?

The payout is what remains after Etsy deductions, not your sales figure. Your accounts should reconcile each payout back to gross orders, refunds, taxes collected and every fee so turnover is complete and the deductible costs are not lost.

Where do Etsy platform fees go in the accounts?

Listing, transaction and payment processing fees normally sit in clearly labelled marketplace fee accounts. Keeping them separate from sales lets you see the true cost of the channel and makes each Etsy Payments statement easier to reconcile.

Are Etsy fees part of cost of sales?

Direct transaction and payment fees can be shown within cost of sales when that presentation gives a clearer gross margin. Listing subscriptions and general platform costs may sit in overheads. The important point is to apply one sensible policy consistently.

Where do materials and packaging go for an Etsy shop?

Materials used to make products, bought-in stock, production labour and direct packaging normally form cost of sales. Unsold materials and finished goods may need to be included in closing stock at the year end rather than deducted immediately.

How does VAT work for an Etsy seller in the UK?

UK VAT registration depends mainly on taxable turnover, not the amount Etsy pays into your bank. Once registered, VAT treatment can differ by customer location, product type and whether Etsy is treated as the marketplace supplier, so reports and settings must be checked.

Does Etsy collect VAT for me?

Etsy may collect and remit VAT in particular marketplace transactions, but that does not remove your responsibility to assess UK registration, keep evidence and report your own supplies correctly. Marketplace-collected tax should not be confused with your sales income or Etsy fees.

Are Etsy Offsite Ads and promoted listings tax deductible?

They are normally deductible advertising costs when incurred wholly and exclusively for the trade. Record them separately from sales so you can measure whether the advertising generated enough contribution after product and fulfilment costs.

How should Etsy refunds and payment reserves be recorded?

Refunds should reverse the related sale and VAT where appropriate. A payment reserve is normally money still owed to the business, not an expense, so it should be reconciled as a receivable until Etsy releases or applies it.

Do I need to declare Etsy income if I sell part time?

Part-time income can still be taxable. Whether you are trading depends on the facts, while the trading allowance may simplify very small amounts. Keep order, fee and expense records even if Etsy is not your main job.

Should an Etsy seller be a sole trader or limited company?

That depends on profit, other income, risk, how much cash you need personally and whether profits will stay in the business. We compare the tax and administration cost using your figures rather than applying a fixed profit rule.

Can you reconcile Etsy with Xero?

Yes. We can connect or import Etsy order and payment data, build a gross-to-net reconciliation and post controlled summaries into Xero. The bank receipt must still agree to Etsy Payments after fees, refunds, taxes and reserves.
