Accountants for Event Management Companies

Accountants for UK event management and event production companies: deposits and VAT, admission place of supply, project margins, freelancers and cash flow.

Short answer

Event companies need VAT tax points for deposits and staged payments, the right place of supply for admission and event services, cancellation terms reviewed, project costs tracked per event, and freelance crew status checked. We handle bookkeeping, VAT, payroll, year-end accounts and Corporation Tax.

What this means for your company

Event businesses take deposits months ahead, pay suppliers before the event and rely on freelance crew. Cash can look healthy while the work is still to be delivered. We set up event-by-event costing and deferred income so profit is reported in the right period.

Deposits and VAT tax points

VAT is generally due when a payment is received or an invoice issued, whichever happens first, so deposits create a VAT liability before the event. Income for accounts purposes is generally recognised when the event takes place, so year-end deposits are usually deferred income.

Admission and event services

Admission to an event supplied to a business customer is usually taxed where the event takes place, so an event abroad may require overseas VAT registration. Organising services supplied to a business client may follow the general business-to-business rule. Each contract should be mapped before invoicing.

Cancellations and refunds

Whether a retained deposit or cancellation fee is subject to VAT depends on the contract terms and what the customer receives. HMRC's position on retained deposits has changed in recent years, so we review your terms rather than applying a blanket rule.

Freelance crew

Production crew, stage managers and hosts are often freelance. Status depends on the working arrangement, not the label. Where workers are on payroll, short engagements still require RTI, holiday pay and auto-enrolment assessment.

The compliance baseline every company shares

A event management company files statutory accounts at Companies House, normally nine months after its accounting reference date, and a CT600 within 12 months of the end of its Corporation Tax accounting period. Most smaller companies pay Corporation Tax nine months and one day after the period ends; the main rate is 25%, with the 19% small profits rate up to £50,000 and marginal relief between £50,000 and £250,000.

VAT registration is required once taxable turnover passes £90,000 in a rolling 12 months, or is expected to within 30 days. Paying any salary, including to a director, brings PAYE and Real Time Information reporting, and employing eligible staff brings automatic-enrolment pension duties. The confirmation statement is a separate annual filing.

How we work with you

We start with a free consultation to understand how you invoice, buy, pay people and get paid. You then receive a written scope and fee before chargeable work begins, covering bookkeeping, VAT, payroll, year-end accounts, CT600 and director Self Assessment as agreed.

Advisory work such as management accounts, cash-flow forecasting, pre-year-end planning or specialist reliefs is quoted separately rather than assumed to be included. Where a question needs specialist legal or tax advice outside our scope, we say so.

Frequently asked

Accountants for Event Management Companies: questions directors ask

When is VAT due on an event deposit?

Usually when the deposit is received, because that creates a tax point, even if the event is months away.

When do we recognise event income in the accounts?

Generally when the event is delivered. Deposits received before the year end for future events are deferred income.

Do we charge UK VAT on an event held abroad?

Admission to an event for business customers is generally taxed where the event takes place. You may need to register in that country.

Is a retained cancellation deposit subject to VAT?

It depends on the contract terms. HMRC guidance has changed, so we review your terms and transaction history.

Can we treat all crew as self-employed?

Only if each arrangement is genuinely self-employment. HMRC looks at control, substitution and obligations in practice.

Do you work with event management businesses outside London?

Yes. We meet clients by appointment at our Morden office and work online with event management companies across the UK using cloud bookkeeping, secure document upload and video calls.

What records are needed for accountants for event management companies?

Keep bank statements, sales and platform reports, purchase invoices, payroll records, VAT workings, finance agreements and Companies House correspondence. We confirm the exact list at onboarding and identify gaps before a filing deadline becomes urgent.

How much does help with accountants for event management companies cost?

The fee depends on transaction volume, record quality, VAT and payroll requirements, historic catch-up and the level of reporting needed. We agree a fixed scope and price before technical work starts, with published packages available on our fees page.

Can you take over accountants for event management companies from another accountant?

Yes. We request professional clearance, collect the prior records and authorities, check the next Companies House and HMRC deadlines, and give you one clear handover list. The process is normally completed remotely.

Can accountants for event management companies be handled online?

Yes. We work through secure cloud records, scheduled reviews and digital approvals, while keeping a named team available by phone, video call and email. Clients can also visit our Morden office by appointment.
