Etsy deducts listing fees, transaction fees, payment processing and offsite advertising before it pays you, and offsite ads can be charged at a materially higher rate on sales they attribute to themselves. Each of those is a deductible cost, so booking only the net deposit both understates turnover and loses you tax relief.
Most Etsy sellers start as sole traders. Incorporation usually makes sense once profits are comfortably into five figures and you want to retain some of them in the business, though it brings Companies House filings, payroll and dividend paperwork with it. We run the comparison on your actual numbers rather than a rule of thumb.
Handmade sellers often buy materials from VAT registered suppliers while selling below the registration threshold, so registering can cost you margin rather than save it. Once you do register, materials, packaging, studio costs and craft equipment all come into play. We model the point where registration becomes unavoidable.

Record gross customer sales as turnover, then record Etsy listing fees, transaction fees, payment processing, advertising, refunds and reserves separately. Posting only the net bank deposit understates both sales and costs and makes VAT and margin reporting unreliable.
The payout is what remains after Etsy deductions, not your sales figure. Your accounts should reconcile each payout back to gross orders, refunds, taxes collected and every fee so turnover is complete and the deductible costs are not lost.
Listing, transaction and payment processing fees normally sit in clearly labelled marketplace fee accounts. Keeping them separate from sales lets you see the true cost of the channel and makes each Etsy Payments statement easier to reconcile.
Direct transaction and payment fees can be shown within cost of sales when that presentation gives a clearer gross margin. Listing subscriptions and general platform costs may sit in overheads. The important point is to apply one sensible policy consistently.
Materials used to make products, bought-in stock, production labour and direct packaging normally form cost of sales. Unsold materials and finished goods may need to be included in closing stock at the year end rather than deducted immediately.
UK VAT registration depends mainly on taxable turnover, not the amount Etsy pays into your bank. Once registered, VAT treatment can differ by customer location, product type and whether Etsy is treated as the marketplace supplier, so reports and settings must be checked.
Etsy may collect and remit VAT in particular marketplace transactions, but that does not remove your responsibility to assess UK registration, keep evidence and report your own supplies correctly. Marketplace-collected tax should not be confused with your sales income or Etsy fees.
They are normally deductible advertising costs when incurred wholly and exclusively for the trade. Record them separately from sales so you can measure whether the advertising generated enough contribution after product and fulfilment costs.
Refunds should reverse the related sale and VAT where appropriate. A payment reserve is normally money still owed to the business, not an expense, so it should be reconciled as a receivable until Etsy releases or applies it.
Part-time income can still be taxable. Whether you are trading depends on the facts, while the trading allowance may simplify very small amounts. Keep order, fee and expense records even if Etsy is not your main job.
