Accountants for Marketing Agencies

Quick answer

Marketing agencies need accounts that separate fee income from client media spend, treat recharges and disbursements correctly for VAT, recognise retainer and project income in the right period, and check freelancer status. We set this up in your bookkeeping and handle VAT, payroll, accounts and Corporation Tax. — LimitedCompany.Accountants, ICAEW-regulated accountants for UK limited companies.

What does this mean for your company?

Most agency accounting problems come from money that passes through the business. A £40,000 monthly ad budget can make turnover look large while the real margin sits in a much smaller fee line. We structure the books so gross billings, media cost and agency income are each visible.

Media spend: recharge or disbursement?

Where the agency buys advertising in its own name and bills the client, the cost is usually a recharge: it forms part of the agency's taxable supply and VAT is charged on the full amount. A disbursement, outside the agency's own supply, is narrower. HMRC's conditions include acting as the client's agent, the client receiving and being responsible for the supply, and the cost being passed on at exactly the amount paid and shown separately.

Most platform ad spend bought on the agency's own account does not meet the disbursement conditions. Getting this wrong understates VAT, and it can also push turnover over the registration threshold earlier than expected because recharged media counts towards taxable turnover.

Recognising retainer and project income

Retainers billed in advance, multi-month projects and success fees all raise timing questions. Income should reflect work performed in the period rather than simply invoices raised. For accounting periods beginning on or after 1 January 2026, revised FRS 102 revenue requirements adopt a five-step model, which makes contract terms and performance obligations more important for agencies reporting under FRS 102.

Work in progress at the year end, unbilled time and prepaid retainers affect profit and therefore Corporation Tax. We agree a practical, consistent method with you rather than reconstructing timesheets at the year end.

Freelancers, contractors and payroll

Agencies often rely on designers, copywriters and developers who are not on payroll. Whether each one is genuinely self-employed depends on control, substitution and mutuality of obligation, not on the contract title. Where a worker supplies services through their own company and the agency is medium or large, the off-payroll working rules can make the agency responsible for the status decision.

For staff on payroll we run RTI submissions, auto-enrolment and benefits reporting, and we advise on how directors take a salary and dividends.

Clients and suppliers outside the UK

Services supplied to overseas business clients are usually outside the scope of UK VAT under the general business-to-business place-of-supply rule, though they must still be shown correctly on the VAT return. Software and advertising bought from overseas suppliers usually requires the reverse charge. Both are common sources of VAT return errors in agencies.

Numbers agency owners actually use

Beyond the statutory accounts, useful agency reporting shows revenue net of pass-through costs, gross margin by client, utilisation and debtor days. Bookkeeping categories set up correctly from the start make those figures available without a separate spreadsheet. Monthly management accounts and KPI reporting are a separately quoted service.

The compliance baseline every company shares

A marketing agency company files statutory accounts at Companies House, normally nine months after its accounting reference date, and a CT600 within 12 months of the end of its Corporation Tax accounting period. Most smaller companies pay Corporation Tax nine months and one day after the period ends; the main rate is 25%, with the 19% small profits rate up to £50,000 and marginal relief between £50,000 and £250,000.

VAT registration is required once taxable turnover passes £90,000 in a rolling 12 months, or is expected to within 30 days. Paying any salary, including to a director, brings PAYE and Real Time Information reporting, and employing eligible staff brings automatic-enrolment pension duties. The confirmation statement is a separate annual filing.

How we work with you

We start with a free consultation to understand how you invoice, buy, pay people and get paid. You then receive a written scope and fee before chargeable work begins, covering bookkeeping, VAT, payroll, year-end accounts, CT600 and director Self Assessment as agreed.

Advisory work such as management accounts, cash-flow forecasting, pre-year-end planning or specialist reliefs is quoted separately rather than assumed to be included. Where a question needs specialist legal or tax advice outside our scope, we say so.

Frequently asked

Accountants for Marketing Agencies: questions directors ask

Do we charge VAT on ad spend we pass on to clients?

Usually yes. If the agency buys the advertising in its own name, recharging it is part of your supply and standard-rated VAT applies to the full amount. Only costs meeting HMRC's strict disbursement conditions are excluded.

Does recharged media count towards the VAT threshold?

Yes, recharges are part of your taxable turnover. An agency with modest fee income but significant media pass-through can reach £90,000 quickly.

Do we charge VAT to a client in the US or EU?

Most marketing services to an overseas business customer are outside the scope of UK VAT under the general business-to-business rule. Supplies to overseas consumers and certain services follow different rules, so we check the arrangement.

How should we account for a retainer paid in advance?

Income is recognised as the work is performed. A quarterly retainer received in March for April to June is mostly deferred income at a 31 March year end.

Can our agency claim R&D tax relief?

Ordinary marketing, creative and campaign work generally does not qualify. Genuine technological development, such as resolving a software uncertainty, may. Scoping R&D claims is a separately quoted specialist service.

Do you work with marketing agency businesses outside London?

Yes. We meet clients by appointment at our Morden office and work online with marketing agency companies across the UK using cloud bookkeeping, secure document upload and video calls.

What records are needed for accountants for marketing agencies?

Keep bank statements, sales and platform reports, purchase invoices, payroll records, VAT workings, finance agreements and Companies House correspondence. We confirm the exact list at onboarding and identify gaps before a filing deadline becomes urgent.

How much does help with accountants for marketing agencies cost?

The fee depends on transaction volume, record quality, VAT and payroll requirements, historic catch-up and the level of reporting needed. We agree a fixed scope and price before technical work starts, with published packages available on our fees page.

Can you take over accountants for marketing agencies from another accountant?

Yes. We request professional clearance, collect the prior records and authorities, check the next Companies House and HMRC deadlines, and give you one clear handover list. The process is normally completed remotely.

Can accountants for marketing agencies be handled online?

Yes. We work through secure cloud records, scheduled reviews and digital approvals, while keeping a named team available by phone, video call and email. Clients can also visit our Morden office by appointment.
