The rules that shape this work

A processor payout is net of fees, refunds and reserves. Turnover in your accounts must be the gross sale, with fees shown as costs, posting the payout as revenue understates turnover, distorts margin and can put you on the wrong side of thresholds.

Merchant of record platforms such as Paddle or an app store are the supplier to the customer for VAT purposes and pay you a net amount. That changes both your VAT return and the way revenue should be presented, so the arrangement needs identifying before the policy is set.

Multi-currency settlement produces exchange differences between sale date, settlement date and bank date. These are real gains and losses and belong in the P&L, not buried in a suspense account.

Can we just book the Stripe payout as sales?

No. Fees, refunds and reserves have been deducted before it reaches you, so the payout is not your revenue figure. We rebuild gross sales from the processor data every month.

How do we handle chargebacks?

As a reduction of revenue plus the associated fee as a cost, in the period they occur. High-chargeback businesses should also carry a provision.

What about held reserves?

Reserves are your money held by the processor, a receivable on the balance sheet, not a cost. Companies routinely miss them, understating assets and confusing cash forecasts.

Can this be automated?

Largely. We set up the integration and then review the reconciliation monthly, because automated feeds still misclassify refunds and multi-currency entries.
