The rules that shape this work

Business-to-business digital services to overseas customers are generally outside the scope of UK VAT, with the customer accounting under reverse charge. Business-to-consumer digital services are taxed where the customer belongs, which can create obligations in other countries from the very first sale, with no threshold.

The reverse charge also runs the other way: services bought from overseas suppliers are treated as if you supplied them to yourself, and go on your VAT return. Ignoring this on cloud, advertising and software spend is one of the most common errors in a first VAT inspection.

UK VAT registration is required once taxable turnover exceeds £90,000 in a rolling twelve months, or when you expect to exceed it in the next 30 days alone. Voluntary registration before that can be worthwhile where customers are businesses and input VAT is significant.

Thresholds, rates and deadlines quoted here reflect the 2026/27 UK position. Check current GOV.UK guidance, or ask us, before you rely on them for your own company.

How we run it

We start by looking at the last filed accounts, your current records and your filing dates, then confirm a fixed scope and fee in writing.

Once the work is live you get reminders ahead of each deadline, a named person to ask questions, and a plain-English summary when the figures are ready, not a PDF with no explanation.

Frequently asked

SaaS VAT & digital services: questions directors ask

Do we charge VAT to US customers?

For B2B digital services, generally no UK VAT, the supply is outside the scope and the customer accounts for their own local tax. Evidence of business status matters, so keep VAT or tax IDs on file.

What about EU consumers?

VAT is due where the consumer belongs, usually collected through the One Stop Shop non-Union scheme rather than by registering in each state. There is no minimum threshold for a UK business selling into the EU.

Does the platform handle VAT for us?

Sometimes. App stores and some payment platforms act as the supplier to consumers and handle VAT themselves; others do not. Read the terms, the difference is your entire registration position.

Should we register voluntarily before £90,000?

Often yes for B2B SaaS, since customers reclaim the VAT anyway and you recover input tax on development, cloud and equipment. For consumer-facing pricing it is usually a margin decision.

What records are needed for saas vat & digital services?

Keep bank statements, sales and platform reports, purchase invoices, payroll records, VAT workings, finance agreements and Companies House correspondence. We confirm the exact list at onboarding and identify gaps before a filing deadline becomes urgent.

How much does help with saas vat & digital services cost?

The fee depends on transaction volume, record quality, VAT and payroll requirements, historic catch-up and the level of reporting needed. We agree a fixed scope and price before technical work starts, with published packages available on our fees page.

Can you take over saas vat & digital services from another accountant?

Yes. We request professional clearance, collect the prior records and authorities, check the next Companies House and HMRC deadlines, and give you one clear handover list. The process is normally completed remotely.

Can saas vat & digital services be handled online?

Yes. We work through secure cloud records, scheduled reviews and digital approvals, while keeping a named team available by phone, video call and email. Clients can also visit our Morden office by appointment.

Which accounting software works best for saas vat & digital services?

We regularly work with Xero, QuickBooks, FreeAgent, Sage and connected sales or expense apps. The right setup depends on transaction volume, integrations and the reports you need, not simply the software brand.

What tax deadlines matter for saas vat & digital services?

The relevant calendar may include annual accounts, Corporation Tax payment and return dates, confirmation statements, VAT returns, payroll submissions and Self Assessment. We map the dates from your company year end and registrations.

I've been working with Accotax since January 2024, and their support has grown alongside my business needs. Зайтуна «Анонимная татарка» Manning · Two limited companies, VAT, payroll & pensions
We worked with a few different accountants before finally settling with Accotax, and we're really glad we did. They take the time to understand how our business works and what our needs are. Anum, who looks after our account on a day-to-day basis, including reconciling invoices and preparing the annual accounts, is amazing, professional, efficient, and follows the processes we have put in place together. Accotax has made our accounting experience much smoother and easier. We see them as a long-term partner as our business continues to grow. I would 100% recommend them.
Mael Leboucher · Year end accounts & bookkeeping
Accotax have been our accountants for many years now. We maintained them because of their professionalism. In the last couple of years I have been working with Imran, who has been very professional and helpful in guiding us through the whole process, explaining and clarifying every aspect of it. Very prompt in responding to questions and patient with us even when we seem to be slow.
