Accounting for sole traders

Sole traders report business profit through Self Assessment rather than filing company accounts. The records still need to support turnover, allowable expenses, assets, stock, VAT and any employees, with private costs removed.

Bookkeeping and allowable expenses

Keep sales records, business bank transactions, purchase invoices, mileage and home-working evidence. Costs must be incurred for the trade, and mixed-purpose expenses may need a reasonable business proportion rather than a full claim.

Self Assessment and payments on account

The online filing and payment deadline is normally 31 January after the tax year. Payments on account can create a larger first January bill because part of the following year's tax is paid in advance, with a second instalment normally due on 31 July.

VAT, payroll and Making Tax Digital

A sole trader may need VAT registration when taxable turnover crosses the current threshold and PAYE when employing staff. Making Tax Digital for Income Tax is being phased in by qualifying income, so software and record keeping should be reviewed early.

When to consider a limited company

Tax is only one factor. Commercial risk, administration, profit retained in the business, borrowing, customer expectations and long-term plans all matter. We compare both structures and include the cost of running the company.
